HIVE Trade Network Pty Ltd (HIVE, we, us, our) is committed to protecting the privacy of individuals who interact with our network. This Privacy Policy explains how we collect, hold, use, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By registering with HIVE, using our website, or engaging with our services, you consent to the collection and use of your personal information as described in this policy.

What We Collect

We collect personal and business information necessary to operate the HIVE Trade Network, including:

  • Name, email address, and phone number
  • Business name, ABN, and trade type
  • Business address and operating region
  • Financial information provided during the financial health check process (including cash flow data, bookkeeping records, and systems information) — collected by our partner Beyond Bookkeeping on our behalf
  • Transaction data related to purchases made through HIVE supply partners
  • Communications you send to us directly

We collect information directly from you (via application forms and email), from our supply partners (transaction records), and from our delivery partner Beyond Bookkeeping (financial health check outputs).

How We Use Your Information

We use your personal information to:

  • Assess and process your application for HIVE membership
  • Administer your membership and maintain your member profile
  • Facilitate access to HIVE supply partner pricing
  • Calculate and invoice the 2% fee payable by supply partners on verified member spend
  • Deliver the financial health check programme through Beyond Bookkeeping
  • Communicate with you about your membership, new suppliers, and programme updates
  • Comply with legal and regulatory obligations
  • Improve our services and network operations

We will not use your information for direct marketing by third parties without your explicit consent.

Who We Share Your Information With

We may disclose your personal information to:

  • HIVE supply partners — limited to the information necessary to service your trade account (name, business name, membership status). Financial or detailed profile information is not shared with suppliers.
  • Beyond Bookkeeping — our financial wellness delivery partner, for the purpose of conducting your free financial health check. Beyond Bookkeeping operates under a data handling agreement with HIVE.
  • HubSpot — our CRM platform, used to manage member records, communications, and pipeline. HubSpot stores data on servers in the United States.
  • Airtable — our transaction database, used to record and calculate verified member spend and supplier fees. Airtable stores data on servers in the United States.
  • Make.com — our automation platform, used to trigger notifications, workflows, and integrations between our systems. Make.com may process data in the European Union.
  • Legal and regulatory bodies — where required by law or court order.

We do not sell, rent, or trade your personal information to third parties for commercial purposes.

Overseas Disclosure

Some of our service providers store or process data outside of Australia, including in the United States (HubSpot, Airtable) and the European Union (Make.com). Before disclosing your information to overseas recipients, HIVE takes reasonable steps to ensure those recipients handle your information in a way that is consistent with the Australian Privacy Principles.

By using our services, you acknowledge that your information may be transferred to and stored in countries outside Australia, and consent to that transfer where necessary for the operation of our network.

Storage and Security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Our systems are access-controlled and we limit who within HIVE can access member information to those who need it to perform their role.

We retain your personal information for as long as your membership is active and for a reasonable period after membership ends to satisfy our legal and contractual obligations. Transaction data is retained for seven years in accordance with Australian taxation law.

When your information is no longer required, we will take reasonable steps to destroy or de-identify it.

Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to the personal information we hold about you
  • Request that we correct information that is inaccurate, out of date, or incomplete
  • Lodge a complaint about how we have handled your personal information
  • Withdraw consent to use your information for marketing purposes at any time
